A hybrid and fast-moving postal system

Settling in Malaysia means getting to grips with a logistics setup that can differ quite noticeably from what you might be used to in the West. By 2026, the country has established itself as a major logistics hub in Southeast Asia, driven by the boom in online shopping and a modernised infrastructure.

Whether you live in a modern condominium in Kuala Lumpur or a traditional house in Penang, managing your mail is a cornerstone of your everyday life in Malaysia. Between the long-established operator Pos Malaysia and a host of private courier services, the options are plentiful but call for a few key insights to avoid lost parcels or administrative delays.

"The key to reliable deliveries lies in the accuracy of your address. A wrong postcode in Malaysia can send your parcel to the other end of the peninsula." — The Living in Malaysia team.

The different ways to receive your mail

Residential mailbox (condominium)

This is the most common setup for expats. Condos usually have a secure mail room. Letters are dropped into your individual box, while bulky parcels are often kept by the Management Office or left at the Guard House.

Choosing your home based on its services

Peti Surat (PO Box)

Ideal for entrepreneurs or anyone living in a rural area. You can rent a PO Box at any post office (Pejabat Pos).

  • • Maximum security
  • • A private physical address
  • • Access during opening hours

Pickup points & lockers

Services such as PopBox or Ninja Van lockers in LRT stations and shopping malls let you collect your parcels 24/7.

Why the address format matters

A standard Malaysian format looks like this:

Recipient's name
Condominium name, Block X, Unit Y
Street name / Jalan
Postcode (5 digits) CITY
STATE, MALAYSIA

Mail redirection

If you move within Malaysia, Pos Malaysia offers a paid mail-forwarding service.

1. Registering with Pos Malaysia

Unlike in some countries, you are not strictly required to register in order to *receive* ordinary mail at a valid residential address. That said, for managing any international parcels, it is strongly recommended to create an account on the online portal or mobile app of Pos Malaysia.

This lets you track your shipments, pay customs duties online (where applicable) and manage redirections. If you run a business, check out our guide on how to start a business in Malaysia for the specifics around commercial mail.

2. Dealing with customs (SST and taxes)

This is the sticking point for many expats receiving parcels from abroad. Since 2024, Malaysia has applied new rules on the Sales and Service Tax (SST) for low-value goods (LVG) imported into the country.

  • Tax threshold: Any parcel may be subject to inspection.
  • Process: If your parcel is held, you will receive a notification by SMS or letter. Payment is made through the customs portal or directly at the designated post office.
  • Tip: Always ask the sender to include a detailed invoice and to fill in the CN22/CN23 form accurately.

3. Collecting missed parcels

If you are not in, the courier usually leaves a delivery notice (often a small yellow or pink slip). Be careful: you generally have 7 to 14 days to collect the item from the post office indicated before it is returned to the sender. Always bring your original passport (copies are rarely accepted).

The private courier ecosystem

Often faster and more reliable than the national postal service for urgent needs.

Real-life experiences

"At first, I couldn't understand why my parcels kept getting stuck. I realised my condo address had to include the block and unit number exactly. Ever since I started using the Pos Malaysia app, I get real-time notifications, it's so much simpler!"

Frequently Asked Postal Questions

What are the opening hours of the Pejabat Pos?
Generally from 8:30 am to 5:30 pm Monday to Friday, and from 8:30 am to 1:00 pm on Saturdays. Note that in the northern states (Kedah, Kelantan, Terengganu), the weekend falls on Friday/Saturday, so the hours differ.
Can I receive alcohol by post?
It is extremely complicated and strongly discouraged. Alcohol is subject to strict import licences and high excise duties. Most carriers refuse alcohol shipments for private individuals.
Where can I buy stamps and envelopes?
Directly at post offices, but also at certain bookshops such as MPH, Popular, or at convenience stores like 7-Eleven (availability varies).
My parcel is marked "Held by Customs", what should I do?
Wait a few days. Often it is simply the time needed for customs clearance. If it drags on for more than a week, contact the carrier. They will probably ask you for proof of payment (a PayPal invoice or a screenshot from the shopping site) in order to calculate the tax.
Are there any postal services available in French?
No, English and Malay are the two languages of service. For help, turn to the French-speaking associations in Malaysia, which can assist you on occasion.
